How TYME Technologies increased outbound 10× with Claude + StackOne

With Jack Moore, Co-founder of TYME Technologies

By the numbers

What changed when one agent could finally act

TYME wired Claude straight into Vincere, Apollo, HubSpot and Gmail with StackOne — turning outbound, CRM updates and meeting prep into an always-on, AI-run growth engine.

The situation

Scaling outbound without scaling the team

TYME Technologies (opens in new tab) is a London-based data, AI and digital consultancy that helps enterprises design, build and operate their AI transformations. Alongside client delivery and advisory work, the team runs an always-on business development motion and convenes the London Tech Leaders (opens in new tab) community.

For a consultancy, time is literally money — every hour on admin is an hour not sold and not billed. TYME holds a high bar for CRM hygiene across its businesses, running Vincere as its CRM, Apollo for prospecting, and Claude as the team's AI operator. The next step was obvious: scale outbound and operations with AI, without adding headcount.

The cost of doing it by hand

Manual CRM updates, meeting prep and outreach add up

Most AI stops at the chat window. It can draft, but it can't open the CRM. That gap was expensive:

  • CRM updates ate selling hours. Logging touchpoints, notes and outcomes was slow, manual work — so it got deferred.
  • Data quality suffered. Engagement wasn't reliably logged, so no account had a single source of truth.
  • Meeting prep was manual. Context was scattered across Gmail, Drive, Calendar and LinkedIn; a colleague's note from months ago was invisible.
  • Outbound was capped by human hours. Personalised, researched outreach doesn't scale when every email is written by hand.
  • MCPs were missing or incomplete. Many tools have no MCP server — or a partial one — and finding, vetting and managing MCPs across systems is a mess of its own.
  • Onboarding meant re-keying. Every new associate had to be entered into multiple systems by hand.
What TYME needed

An AI agent that works inside Vincere, Apollo, HubSpot and Gmail

To fix this without adding operational headcount, TYME needed its AI agent to automate entire workflows end-to-end — reading from and writing to the tools the business actually runs on:

01Read & write the CRM — create records, log every touchpoint, attach notes
02Bridge the prospecting tool — sync opens, replies & bounces to the right record
03Pull full account history on demand, for instant meeting prep
04Trigger multi-system onboarding from a single action
05Keep a human in the loop — review before anything sends
06Work across two separate businesses and CRMs (Vincere & HubSpot)

How StackOne does it

One agent. One integration layer. Every system.

TYME uses StackOne's agentic tools gateway to give Claude real-time, permissioned access to all of its systems. Each tool becomes agent-ready — read and write, with fine-grained permissions and an audit trail on every action — so a single prompt can run cross-system workflows end-to-end. TYME connected Vincere, Apollo, HubSpot and Gmail and had its first workflow live within minutes.
